GP practice software for appointments, EBM and records — in one app
Arztpilot combines appointments, patient records, EBM billing and prescriptions in one workspace. Fewer reception calls, fewer EBM errors at quarter-end, more time per patient.
| Time | Patient | Duration |
|---|---|---|
| 08:00 | M. Hoffmann — Check-up | 20 min |
| 08:30 | P. Schneider — Prescription | 10 min |
| 09:00 | A. Fischer — Consultation | 15 min |
| 09:30 | K. Weber — Follow-up | 15 min |
Built with GP practices across Bavaria, NRW and Berlin
Appointments in a paper diary, EBM errors at quarter-end, patient records across three systems — the practice runs on too much manual work.
Reception is stuck on the phone
Reception spends the day on the phone: appointments, rescheduling, prescription requests. No time for patients standing at the counter. Prescription slips get passed on paper — two or three go missing every day.
EBM errors bite at quarter-end
Three days of work at quarter-end: check EBM codes, verify chronic-care flat rates, submit reports. Errors mean claw-backs and cuts — five-figure sums per quarter you only spot too late.
Patient records across three systems
History in a card box, lab values in the MED, letters in a Windows folder. In an emergency you don't see the medication list instantly — you search instead of act.
From the call at reception to the KV billing — in one view.
Calendar with patient self-booking
Patients book check-ups and follow-ups via the web practice page — you see new bookings live. Automatic SMS reminders 24 hours ahead cut no-shows from 8% to 2%. Reception wins back two hours per day.
- Web booking for check-ups, follow-ups, vaccinations
- Automatic SMS reminder 24h ahead
- Prescription requests via app straight to the doctor
- Multi-calendar for 1 to 4 doctors in parallel
| Doctor | Slots | Utilisation |
|---|---|---|
| Dr. Weber | 24 / 28 | 86% |
| Dr. Bauer | 26 / 28 | 93% |
| Dr. Fischer | 22 / 26 | 85% |
| Dr. Wagner | 20 / 24 | 83% |
EBM codes generated from the consultation
The doctor captures the consultation; Arztpilot suggests EBM codes based on history and diagnosis. Plausibility checks flag errors before the quarterly batch goes to the KV. Three-day marathon becomes three hours.
- EBM code suggestion based on ICD-10 diagnosis
- Automatic plausibility check before KV submission
- Chronic-care and prevention codes automatic
- KV billing in one click
| Doctor | Cases | Sum |
|---|---|---|
| Dr. Weber | 148 | €10,720 |
| Dr. Bauer | 132 | €9,420 |
| Dr. Fischer | 118 | €8,240 |
| Dr. Wagner | 102 | €7,180 |
Patient records with live vitals and history
History, diagnoses, medication, lab values and letters in one view. In emergencies you see the patient's history in three clicks. Views comply with § 291a SGB V (KBV-certified).
- Full patient record per patient
- Medication plan with interaction check
- Lab values and reports via integration
- History across every consultation

What GP practices ask us before the demo
How much does Arztpilot cost?
Arztpilot costs $119/month with all modules included — appointments, patient records, EBM billing and prescriptions. Up to 4 doctors and unlimited patients, monthly cancellation, no setup fee.
Is EBM billing KV-certified?
Yes. Arztpilot is certified under § 291a SGB V for EBM billing with the Kassenärztliche Vereinigungen. EBM updates land centrally — your practice does not have to adjust anything.
Can we migrate from turbomed or medatixx?
Yes. Patient records, diagnoses and open EBM cases come in via BDT export from turbomed, medatixx, ALBIS and similar systems. A migration session is part of onboarding — we take over the data and run the first office hour together with you.
Does it work with KIM and eGK?
Yes. Arztpilot is connected to the KIM network and supports eGK, HBA and TI. Prescriptions, letters and sick notes are digitally signed and transmitted — paper only when the patient asks.
Is the patient record GDPR- and BDSG-compliant?
Yes. Arztpilot runs from a Frankfurt data centre under an Article 28 GDPR data processing agreement. Patient data is encrypted, access is logged, role-based permissions are standard. Medical confidentiality is preserved.
How fast can we go live?
Typical time from kick-off to your first office hour in Arztpilot: 10 working days. We import patients, set up the calendar, and train your team across two 60-minute sessions.
Fewer reception calls. No quarter-end marathon. More time per patient.
We're opening Arztpilot in March to 15 GP practices across DACH. If you want to be one of them, book a 30-minute demo — we'll walk through appointments, EBM billing and patient records using your own practice as the example.
