Psychotherapy software for sessions, KV requests and waitlist — in one app
Therapiepilot combines session planning, KV request workflow, waitlist and patient records in one workspace. Fewer request rejections, no more lost waitlist patients, more time in the therapy room.
| Time | Patient | Duration |
|---|---|---|
| 08:00 | M. H. — CBT session 12 | 50 min |
| 09:00 | P. S. — CBT session 4 | 50 min |
| 10:00 | A. F. — Intake | 50 min |
| 11:00 | K. W. — CBT session 18 | 50 min |
Built with psychotherapy practices across Bavaria, NRW and Berlin
Waitlist in your head, KV request in Word, session notes on paper — the practice runs on too much manual work.
Waitlist loses patients
Waitlist in a notebook or Excel — after two weeks the patient calls again, they've looked elsewhere. Your 12-week waitlist was actually a 4-week list, you just didn't notice.
KV requests with rejections
Application for CBT goes to the KV by post, the reviewer follows up, you respond, six weeks pass. By the time the request is approved, the patient is in acute crisis — and you're still writing the report.
Session notes on paper
Five minutes of notes on a card stack after every session. On supervision or request reports, you spend two hours flipping back to summarise. Time the next patient doesn't get.
From the waitlist to the billing — in one view.
Waitlist maintained by the patient
Patients register via your web page, update their availability themselves, get a reminder every four weeks. Those who no longer want a slot opt out — your list shows real demand, not zombies.
- Self-registration via web practice page
- Automatic reminder every 4 weeks
- Priority by symptoms and availability
- Match suggestion on a free slot
| Patient | Since | Priority |
|---|---|---|
| M. Hoffmann | 12 wks | High |
| P. Schneider | 8 wks | Medium |
| A. Fischer | 16 wks | High |
| K. Weber | 4 wks | Low |
KV requests digital, with templates and history
Request report from templates with standard history, treatment plan and diagnosis. Digital submission to the KV via KIM. Instead of a six-week post marathon: response in four to seven days, patient starts therapy faster.
- Request templates for CBT, psychodynamic, analytic
- Digital submission to KV via KIM
- History: every request per patient
- Automatic reminder for renewal
| Patient | Status | Sessions |
|---|---|---|
| M. Hoffmann | Approved | 60 |
| P. Schneider | In review | 24 |
| A. Fischer | Drafting | — |
| K. Weber | Renewal | 20 |
Session notes right after the session
After every session: 3 minutes of progress notes by voice or short text, auto-linked to the patient. On supervision or request reports, the full history is instantly available — no more card-flipping.
- Voice recording with automatic transcription
- Progress chart across sessions
- Confidentiality-compliant encryption
- Export for supervision and requests

What psychotherapy practices ask us before the demo
How much does Therapiepilot cost?
Therapiepilot costs $119/month with all modules included — session planning, KV requests, waitlist and patient records. Up to 3 therapists and unlimited patients, monthly cancellation, no setup fee.
Is confidentiality properly implemented?
Yes. Patient data is end-to-end encrypted; access is limited to the treating therapist. Even support has no visibility into session notes. Professional confidentiality obligations remain fully protected.
Can we submit KV requests digitally?
Yes. Therapiepilot is connected to the KIM network and transmits requests, reports and appraisals digitally to the KV. eGK and HBA are supported; TI updates are included.
Can we migrate from Elefant or Psyprax?
Yes. Patient records, session histories and waitlists come in via standard export from Elefant, Psyprax and similar systems. A migration session is part of onboarding — we take over data and run the first session week together.
Is voice transcription GDPR-compliant?
Yes. Voice recordings are transcribed locally or in a Frankfurt data centre under an Article 28 data processing agreement, then deleted. No text leaves Germany, no model is trained on patient data.
How fast can we go live?
Typical time from kick-off to your first session in Therapiepilot: seven working days. We import patients, set up waitlist and KV templates, and train you in one 90-minute session.
No more lost waitlist patients. KV requests in days, not weeks. More time in the therapy room.
We're opening Therapiepilot in March to 12 psychotherapy practices across DACH. If you want to be one of them, book a 30-minute demo — we'll walk through waitlist, KV requests and session notes using your own practice as the example.
